When to Outsource Physical Therapy Billing

Most physical therapy billing problems start before the claim leaves the clinic. The chart is missing a signature, a denial sits unread, or the owner is still the billing department after the last patient. This is when to outsource physical therapy billing, and what the practice should keep.
The claim goes out with a hole in the chart
Eligibility was never checked on the plan the patient will actually use. Consent is missing. Daily notes do not match the visits that were seen. If the plan of care needs a physician signature, the evaluation is not signed by the PCP within 30 days. The discharge folder is not complete. A back office should stop that claim, not chase it after the denial.
Denials are read after the money is already late
Someone still has to open the remittance, fix what can be fixed, and resubmit. If that work waits for a free evening, accounts receivable grows while the therapist is treating. Billing from a complete chart is the part a clinic can control before the denial arrives.
A new provider is still not credentialed
A lapsed license, a stale CAQH profile, a missing malpractice certificate, or an unsigned business associate agreement can stop payment the same way a missing note can. The practice hires the therapist. Operon does not post jobs, screen candidates, interview, or place staff. We keep the employee file and the payer packet current for people who are already on the team.
The owner is still doing intake after hours
A new patient calls. Someone has to check eligibility, collect the insurance card and photo ID, get a signed consent, enter the patient in the EMR, and tell the therapist the visit is ready. If that work is still on the owner, the schedule can be full and the file can still be late.
The month-end numbers are a surprise
Visits, no-shows, accounts receivable, and collections should be a short monthly report, not a reconstruction. If the same gap shows up more than twice, that is the work to hand off. It is cheaper to close the gap than to chase the denial.
What to hand off
Hand off patient intake, patient files, employee files, medical credentialing, billing, and a monthly KPI. Keep the treatment. The same file work fits OT and SLP clinics. It also fits chiropractic, podiatry, ortho, and small medical offices. You treat. We run the file.
