How it works

We work inside the systems you already pay for

No new platform for the staff to learn. After a consultation we name the seats, take access where the work requires it, and start with the leak that is costing the week — usually authorizations, aging, or a license nobody is watching.

01 Free consultation

Thirty minutes on the seats you are still filling: the desk, authorizations, credentialing, billing, aging, and employee files. You leave knowing which work can leave the treatment room.

02 Seamless integration

We work inside the EMR, payer portals, and time records you already use. Your team is not asked to learn a new platform on day one.

03 Ongoing optimization

Weekly follow-up on authorizations, claims, and files, then an aging report and a collection picture. The engagement is a standing back office, not a one-time cleanup.

What we work inside

WebPT, Clinicient, Raintree, Jane, SimplePractice, Dentrix, Eaglesoft, Open Dental, common billing platforms, and the inboxes and calendars already running the day. The manager on the account is HIPAA certified and has completed patient data security training regarding how records are handled. If the stack is unusual, we say so on the first call.

Questions owners ask first

Q: Do you replace the person who greets patients?
A: No. If patients walk in, someone in the clinic should greet them. We take the seats behind that desk: practice management, prior authorization, credentialing, billing, aging reports, and employee files.

Q: Which EMRs and tools do you work with?
A: We work inside the systems you already run. Common stacks include WebPT, Clinicient, Raintree, Jane, SimplePractice, and major billing platforms. During onboarding we map access and name a single owner for each function.

Q: Are your virtual operations managers HIPAA certified?
A: Yes. Every virtual operations manager is HIPAA certified and completes patient data security training before they are assigned to a practice. A business associate agreement is signed before anyone opens a chart. Access is limited to the work in that agreement, and it is not a shared inbox.

Q: Is this a staffing agency?
A: No. You decide who works in the clinic. We are the specialist layer for the back office: practice management, prior authorization, credentialing, billing and RCM, aging reports, and the employee file — license dates, onboarding documents, and hours for payroll.

Q: How does this compare with hiring another admin?
A: One in-house generalist is often asked to be the receptionist, the biller, the coordinator, and the file clerk. A consultation maps which of those seats you still need in the building, and which can move to a specialist. We do not publish a savings percentage. Your payroll, benefits, and overtime are the comparison.
