Employee file management

Employee management here is the file, not a recruiting desk. When you bring someone on, we keep the onboarding packet: contract, W-2 or 1099 classification, BAA, HIPAA acknowledgment, license, and registration. License and registration dates are watched before they expire. Hours are taken from the record the practice already uses, so payroll is not rebuilt from texts and memory. You remain the employer. We do not set pay, benefits, or who gets hired.

The work
  • - Build the onboarding file after someone joins
    - Hold the contract, classification, BAA, and HIPAA acknowledgment
    - Track professional license and registration expiration
    - Keep credentialing documents for that person with the file
    - Calculate hours from the practice’s time record
What we do
  • - One file per person already on the team
    - Expiration dates surfaced before they lapse
    - Hours ready for whoever runs payroll
What we do not do
  • - Job ads, screening, interviews, or hiring decisions
    - Acting as employer of record
    - Benefits design, tax filing, or disciplinary action
Outcomes
  • - A lapsed license is not a surprise
    - An audit can pull the BAA and the license from one file
    - Payroll hours are calculable

Done looks like:

Every person on the team has a current file, a watched license date, and hours that can be paid from.
